Integration · QuickBooks Online and QuickBooks Time
Your books stay in QuickBooks. Extrusia keeps them filled.
A window plant invoices from the order, and the order lives in Extrusia. The QuickBooks connection sends each invoice, its customer and the payments against it into your QuickBooks Online company, so your bookkeeper works where they always have and nobody types an invoice twice.
How the QuickBooks Online connection works
Connect by signing in
An administrator presses Connect and signs in to Intuit. There is no token to copy, and the connection renews itself, so it does not quietly stop working after an hour or a weekend.
Nothing is sent until you say when
Connecting sends nothing. You turn sending on with a start date, and only invoices issued on or after that date go across, so a company with years of history in QuickBooks is never sent its own invoices back.
Customers matched, not duplicated
Before Extrusia creates a customer in QuickBooks it looks for one with the same name. An existing customer list is used as it is, not doubled.
Payments when you want them
Customer payments go to QuickBooks only once you switch them on, so a shop that records its deposits in QuickBooks already does not get each one twice.
Opening balances stay put
Balances carried over from your old system came from QuickBooks in the first place, so they are never sent back to it.
One company, one connection
A workspace connects to one QuickBooks company. Reconnecting the same company picks up where it left off, so nothing is sent twice.
QuickBooks Time: goals from the crew that showed up
Extrusia's plant goals are worked out from the hours the floor actually has. Connect QuickBooks Time (formerly TSheets) and the capacity calculator reads who is clocked in and the day's man-hours, so the day's goals reflect the people on the floor rather than the people on the schedule. Limit it to your shop groups and office clock-ins stay out of the plant's numbers.
QuickBooks Desktop and other packages
The general ledger exports as a QuickBooks Desktop IIF file or a plain CSV journal any package can import, and a payroll register from ADP, Gusto or Paychex becomes one balanced journal entry.
What a supplier is owed stays with the owners
Extrusia can read your open bills, vendor credits and vendors from QuickBooks, read-only, for the people who manage what the company owes. Only a super administrator can see them; nobody else in the workspace can.

QuickBooks integration — common questions
Does Extrusia replace QuickBooks?
No. Extrusia runs the orders, the plant and the invoicing; QuickBooks stays your general ledger. The connection moves what was invoiced and paid from one to the other.
Will connecting send our old invoices into QuickBooks?
No. Nothing is sent until you choose a start date, and only invoices issued from that date on are sent.
Does it work with QuickBooks Desktop?
The live connection is for QuickBooks Online. For QuickBooks Desktop, the general ledger exports as an IIF file that Desktop imports.
What if a customer already exists in QuickBooks?
Extrusia looks the customer up by name first and uses the one already there.
